{"id":158,"date":"2013-10-22T22:39:22","date_gmt":"2013-10-22T22:39:22","guid":{"rendered":"http:\/\/21stcenturypa.com\/wp\/?p=158"},"modified":"2014-01-09T22:42:28","modified_gmt":"2014-01-09T22:42:28","slug":"102213-governance-council-meeting","status":"publish","type":"post","link":"https:\/\/21stcenturypa.com\/wp\/?p=158","title":{"rendered":"10\/22\/13 Governance Council Meeting"},"content":{"rendered":"<p><strong>Minutes<\/strong><\/p>\n<p><b>October 22, 2013<\/b><\/p>\n<p><!--more--><\/p>\n<p>Members Present: Virginia Trujillo, President, Community Member<\/p>\n<p>Chris Velasquez, Secretary, Parent<\/p>\n<p>Jim Freese, Community Member<\/p>\n<p>Lori Hagen, Community Member<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p>Members Absent: Todd Caplan, Vice President, Parent<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p>Guests: Mary Tarango, Principal<\/p>\n<p>Judy Bergs, APS finance<\/p>\n<p>Tony McLaughlin, Parent<\/p>\n<p>Tami Coleman, APS Finance<\/p>\n<p>&nbsp;<\/p>\n<p>Regular Guests absent: Mark Tolley, APS<\/p>\n<p>Don Moya, APS<\/p>\n<p>&nbsp;<\/p>\n<p><b>Meeting called to Order at 6:05pm<\/b><\/p>\n<p><b>Approval of Previous Meeting Minutes<\/b><\/p>\n<p>Review September 24, 2013 meeting minutes:<\/p>\n<p>Motion to approve minutes \u2013 Jim Freese<\/p>\n<p>2<sup>nd<\/sup> \u2013 Lori Hagen<\/p>\n<p>Passes unanimously<\/p>\n<p>Jim felt good making a motion after not being able to for over two (2) years as President<\/p>\n<p><b>Open Forum:<\/b><\/p>\n<p>Lori asked if the school discussed the potential to reach out to homeless students, and if so, how did it go.\u00a0 Several avenues are being explored to advertise to the surrounding neighborhood (will be discussed in Principal\u2019s report) and ways to approach the homeless population in the area are also being formulated.\u00a0 Suggested to reach out to PTA to help make community connections in this regard.\u00a0 Chris offered to bring this up with the PTA president.<\/p>\n<p>&nbsp;<\/p>\n<p>&nbsp;<\/p>\n<p><b>Principal\u2019s<\/b> <b>Report:<\/b><\/p>\n<p>Fundraising focus is to promote the school. The foundation is purchasing a half page ad in ABQ the Magazine (focus on education issue) to promote school.\u00a0 This will include an article in the magazine.<\/p>\n<p>Various churches in the area were visited to promote the school<\/p>\n<p>Total enrollment is 257.\u00a0 Adding 2 tomorrow (23 October), and did a tour for a 7<sup>th<\/sup> grader today who is scheduled to enroll as well.\u00a0 Total will be 260.<\/p>\n<p>Feb 3, 2014 will be the date of the first pull in our lottery.<\/p>\n<p>A Golf Tournament fund raiser is scheduled for April 23, 2014.<\/p>\n<p>Applebee\u2019s is being approached for a potential pancake breakfast fund raiser.\u00a0 It will be combined with a \u201cBlack Saturday\u201d gift wrap event at the school for folks to wrap their Black Friday Christmas gifts.\u00a0 A Read-a-Thon is an alternative to the Black Friday event.\u00a0 This is a School-wide function.<\/p>\n<p>Tony McLaughlin presented a cyber-security PowerPoint to the council as a preview to a potential presentation to the students and parents at a future date.\u00a0 His daughter attends 21<sup>st<\/sup> Century.\u00a0 Mr McLaughlin works for Molina Healthcare on security of HEPA info.\u00a0 Worked at the labs in information security.\u00a0 Presentation is on \u201c(ISC)\u00b2 Safe and Secure Online\u201d program, a non-profit foundation for certification of IS professionals.\u00a0 Program is focused on teaching kids to be secure online.\u00a0 Goal is to not discourage kids from using internet, but how to be safe while online.\u00a0 3 key concepts; cyber security (keep kids safe), cyber safety (online behaviors to protect physical well-being), and cyber ethics (treat each other online as they would like to be treated themselves). \u00a0 Goal is to present to students and teachers at a future date, to follow with a presentation to parents.<\/p>\n<p><b>School Finances<\/b><\/p>\n<p>Statement of Expenditures presented.\u00a0 Report is as of today.\u00a0 Audit is nearing completion.\u00a0 Discussed with APS board. \u00a0 Budget is at -$57,492.68.\u00a0 Cash deficit is $270k.\u00a0 Waiting for unit values to come in January.\u00a0 Potentially could help the finances.\u00a0 The 90 day count of 256 was not accounted for in the budget, which was budgeted for 263.\u00a0 The OME, state sent out for maintenance of effort shortfall, was accounted for in presentation.\u00a0 Several upcoming BARs will adjust final cash balances.<\/p>\n<p>Side discussion on how maintenance and repairs on school get paid.\u00a0 Roof repairs were billed directly to owner.\u00a0 We are responsible for general maintenance, but building issues are billed to owner.\u00a0 Chris advised that he discussed with Mr. Richardson and he stated the same.<\/p>\n<p>Cash disbursements presented.<\/p>\n<p>Motion to approve cash disbursements \u2013 Jim Freese.<\/p>\n<p>2<sup>nd<\/sup> \u2013 Lori Hagen<\/p>\n<p>Passed unanimously.<\/p>\n<p>Food Service costs discussed.\u00a0 Lunches have been purchased by activity fund.\u00a0 Competing food, if sold, needs to be accounted for in the school food service fund.\u00a0 Sales of competing food must accrue to the benefit of the nonprofit school food service.\u00a0 This has not been brought up in the past audits, or USDA food inspections.\u00a0 Since APS is taking care of finances, and no records are available to identify how this was tracked, Tami advised if pizza to be sold during lunch, it needs to be deposited in food service fund.\u00a0 Discussion ensued over this issue since other schools do this on a regular basis.\u00a0 Need clarification on how other schools are doing this, and an explanation on how activities funds are raised.<\/p>\n<p>Activity fund was not on APTA system.\u00a0 Cash for OSIs are not being tracked to ensure they are deposited within 24 hours of receiving it.\u00a0 Cash received need to be deposited and then paid out of the funds and tracked.\u00a0 Mary and all teachers are aware of this, will be re-emphasized to the staff.<\/p>\n<p>Lab fees discussed.\u00a0 If fees collected for science will be used for supplies, they need to be deposited and tracked as well.<\/p>\n<p><b>New Business<\/b><\/p>\n<p>No new business<\/p>\n<p><b>Old Business<\/b><\/p>\n<p>Bullying Policy \u2013 agreed to defer discussion until next month once Todd is able to gather comments from other board members.<\/p>\n<p><b>Next Meeting<\/b><\/p>\n<p>November meeting set for 12 November, 6pm.<\/p>\n<p><b>Motion to adjourn:\u00a0 <\/b>Jim Freese<\/p>\n<p>2<sup>nd<\/sup> \u2013 Lori Hagen<\/p>\n<p>Passes unanimously.<\/p>\n<p>Meeting Adjourned at 8:07pm<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Minutes October 22, 2013<\/p>\n","protected":false},"author":1,"featured_media":0,"comment_status":"closed","ping_status":"closed","sticky":false,"template":"","format":"standard","meta":[],"categories":[9],"tags":[],"_links":{"self":[{"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/posts\/158"}],"collection":[{"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/posts"}],"about":[{"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/types\/post"}],"author":[{"embeddable":true,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/users\/1"}],"replies":[{"embeddable":true,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=%2Fwp%2Fv2%2Fcomments&post=158"}],"version-history":[{"count":3,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/posts\/158\/revisions"}],"predecessor-version":[{"id":161,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=\/wp\/v2\/posts\/158\/revisions\/161"}],"wp:attachment":[{"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=%2Fwp%2Fv2%2Fmedia&parent=158"}],"wp:term":[{"taxonomy":"category","embeddable":true,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=%2Fwp%2Fv2%2Fcategories&post=158"},{"taxonomy":"post_tag","embeddable":true,"href":"https:\/\/21stcenturypa.com\/wp\/index.php?rest_route=%2Fwp%2Fv2%2Ftags&post=158"}],"curies":[{"name":"wp","href":"https:\/\/api.w.org\/{rel}","templated":true}]}}
