{"id":4363,"date":"2018-01-09T15:41:02","date_gmt":"2018-01-09T15:41:02","guid":{"rendered":"http:\/\/21stcenturypa.com\/wp\/?p=4363"},"modified":"2018-01-09T15:41:02","modified_gmt":"2018-01-09T15:41:02","slug":"111317-pta-executive-board-meeting-minutes","status":"publish","type":"post","link":"https:\/\/21stcenturypa.com\/wp\/?p=4363","title":{"rendered":"11\/13\/17 PTA Executive Board Meeting Minutes"},"content":{"rendered":"<p>21 ST CENTURY PUBLIC ACADEMY PTA EXECUTIVE BOARD MEETING MINUTES<br \/>\nDate, Time and Location: November 13, 2017; 5:45 pm in the School Cafeteria<br \/>\nMEETING CALLED TO ORDER BY Juliann Salinas at 5:45 pm<br \/>\nIn Attendance: Juliann Salinas- President, Mary Anne Owen-Secretary, Sharon<br \/>\nHart-Treasurer, Teresa Payne, Mary Tarango, Denise Geoffrion, Michael Haley,<br \/>\nCrystal Salas, Jennifer Withrow, Linda Phipps, Kim Fields-Haley<\/p>\n<p>I. Review and Approval of October Minutes &#8211; Moved to approve by Denise<br \/>\nGeoffrion and 2 nd by Crystal Salas<br \/>\nII. Treasurers Report &#8211; We currently have 2 bank accounts, Peoples Bank<br \/>\nand US Bank. We transferred some money into the new US Bank<br \/>\naccount until we can close the Peoples Bank account. The details for<br \/>\nwhat was brought in during the Fall Festival and Student Store are on<br \/>\nthe Treasurers Report.<br \/>\nIII. Membership &#8211; Normally done with Vice President position. We currently<br \/>\nhave 30 members. You do not need to attend monthly meetings but will<br \/>\nbe included on all correspondence for school functions.<br \/>\nIV. Presidents Report &#8211; report is included in with West Side Bus report<br \/>\nV. Principals Report &#8211; We ordered 26 cases of trash bags and all that are<br \/>\nleft 10 orders (2 blue, 4 yellow, 4 white). We have the contract with APS<br \/>\nfor the bus which is $26,155.00 which includes insurance. The bus has<br \/>\nalready started. A 21 st Century Bus Policy is on line and will go in front of<br \/>\nthe Governance Council on Thursday. It is a learning process and there<br \/>\nhas been a couple of hiccups. Things are looking good. There have been<br \/>\nup to 31 kids riding the bus. We should get over $1,000.00 profit on the<br \/>\ntrash bags along with donations. Someone should stick around at the<br \/>\nbus stops until all kids have been picked up, just in case someone is late.<br \/>\nA list of parents and phone numbers has been sent in case of an<br \/>\nemergency. The transportation group is separate from PTA, but we are<br \/>\nallowing them to deposit their funds into our account. Student Counsel<\/p>\n<p>and the school are only allowed to sell Dions Pizza for a fundraiser. On<br \/>\nFriday, Dions Pizza will be for sale to fundraise for a family in need. The<br \/>\nPTA\/Student Store will donate the sodas. Can we add Sharon Hart on<br \/>\nthe account as a signer? It was moved by Kim Fields Haley and 2 nd by<br \/>\nDenise Geoffrion. Can the transportation group have their own account,<br \/>\nor should the funds be kept in the PTA account? Since they are not a<br \/>\nseparate bonded entity (not a 501-C Corp), we will allow them to keep<br \/>\nthem to keep their funds in our checking account. Transportation will be<br \/>\non a separate line item on the Treasurers Report. We will need to keep<br \/>\ndetailed record. New Minutes will need to be drawn up to get Sharon<br \/>\nHart and Crystal Salas added to the checking account. Hopefully the<br \/>\nteachers will be able to move into the Portables soon. Phase 2 will begin<br \/>\nin January which will be 2 nd story with 8 class rooms and the music room<br \/>\nand the gym.<br \/>\nVI. Fundraising Committee-<br \/>\na. West Side Bus &#8211; \u201cShop With Scrip\u201d is a fundraiser to purchase gift<br \/>\ncards, as face value and bought on line, we will get a certain % back,<br \/>\ndepending on which gift card it is. There are many options of gift<br \/>\ncards on the website. Denise Geoffrion is the heading up this<br \/>\nfundraiser. This is a major fundraiser and a lot of money can be<br \/>\nearned. The purchase is done on line. We can include out of town<br \/>\nfamilies on this fundraiser, which would increase the profit. Denise<br \/>\nwill look more into this fundraiser and give an update at the next<br \/>\nmeeting. Another fundraising idea is Amazon Smiles. An account will<br \/>\nneed to be set up in order for this fundraiser. What about purchasing<br \/>\na hat with 21 st Century Public Academy logo? Mr. Haley will look into<br \/>\nhow much they are and what kind of profit could be made off of<br \/>\nthem and report back at the next meeting. \u201cStuff the Bus\u201d is in<br \/>\nDecember, can the kids who rides the bus wear jeans that day? Yes,<br \/>\nthey can. Another fundraising idea is a \u201cBreak the Rule\u201d day or Spirit<br \/>\nDay where kids can pay up to $5.00 to break 5 rules (attire, food,<br \/>\nchew gum\u2026), this will be up to Mrs. Tarango. How will it work? Will<br \/>\nthere be wrist bands? How about selling Yeti cups with the 21 st<br \/>\nCentury Logo on them at an event? Maybe in the Spring.<\/p>\n<p>b. Non-Fundraiser Fundraiser for PTA &#8211; We typically have a fall<br \/>\nfundraiser. This will be the PTA\u2019s fundraiser, all funds from this will go<br \/>\nto the PTA to be able to help our teachers to help our school to help<br \/>\nour kids. Jennifer Withrow has a copy of the Non-Fundraiser<br \/>\nFundraiser form or will get it from our past Fundraising Committee<br \/>\nchair. Even if a donation is made to the Non-Fundraiser Fundraiser,<br \/>\nthe fundraising information will still go out to all the kids. We need to<br \/>\nmake sure communication is clear as to what fundraising event is<br \/>\ngoing to support either the PTA or the West Side bus. We don\u2019t want<br \/>\nto parent\u2019s to get over whelmed with fund raising. Maybe the West<br \/>\nSide bus can come up with their own logo to add to their<br \/>\ncommunication just to make it clearer. Next year will not need to do<br \/>\nany fundraising for the bus unless we get another bus. We will need<br \/>\nto support each other (West Side Bus and PTA).<\/p>\n<p>VII. Social Committee &#8211; Science Bowl in December 1, 2017 and Spelling Bee<br \/>\nis December 7, 2017. We will need prizes for both along with cookies<br \/>\nand punch. We have 6 Cold Stone Creamery gift cards for the Spelling<br \/>\nBee. We still need gift ideas for the Science Bowl. Teresa and Jennifer<br \/>\nwill be looking into places to get prizes from (20 prizes). We need 23<br \/>\nprizes all together (3 for Science Bowl and 20 for Spelling Bee).<br \/>\nVIII. VP Elections &#8211; Crystal Salas is nominated. It was moved by Mary Tarango<br \/>\nto elect Crystal Salas as new Vice President, Jennifer Withrow 2 nd the<br \/>\nmotion. This position includes being the back up for the President, Box<br \/>\nTops and Membership.<br \/>\nIX. New Business \u2013 None<br \/>\nMeeting was adjourned at 6:54 pm.
