GENERAL MEETING MINUTES

Meeting called to order by Janet Giron at 6:09 pm on Monday, December 10, 2018
Attendance: Jennifer Withrow, Janet Giron, Sharon Hart, Lovey Fritts, Mary Tarango, Bianca
Belmonte-Sapien
Minutes from the November Meeting were reviewed. Jennifer Withrow motioned to approve
and seconded by Sharon Hart. Minutes were approved
COO Report/ Title 1 –
Lovey Fritz thanked the PTA for all that they do for the school and gave us a heartfelt goodbye.
Lovey’s last day as COO will be December 13, 2018. Lovey introduced Mrs. Bianca Belmonte-
Sapien as the new Title 1 Parent Liaison.
Mrs. Belmonte-Sapien is working on a compact with students, parents, teachers, and
administrators, which is required for us to receive funding. Mrs. Belmonte-Sapian has worked
with student to come up with a draft of what they think parents, teachers, students, and
administrative responsibilities should be to help make the best learning and nurturing
environment at school and home. She will meet with each group to make a final copy of the
compact. We will post the final copy once it is complete. One of the requirements, is that
parents participate in title 1 events. PTA will try to have meetings and events with free food to
try and entice families to attend these events. Another suggestion, is that students and parents
will use the agenda as a two way communication between school and home. This will help
parents receive the information on Title 1 events. The Title 1 team has also found some funds
that can be allocated towards helping with OSI’s. There is also a Title 1 brochure in the front
office that allows parents to see what opportunities there are for family engagement. Mrs.
Belmonte-Sapien will work closely with PTA to make sure our family obligations are met.
Principal Report-
Mrs. Tarango introduced Mrs. Bianca Belmonte-Sapien as the New Vice Principal starting
January 2, 2019. The Vigil Group will be taking over the financial/Business office aspect of the
school. The school has worked with the Vigil Group in the past, so an easy transition is
expected. A new teacher Mrs. Layton was hired as the 8 th grade ELA teacher and will begin
work on January 2, 2019. Mrs. Ross will move to 7 th grade for the remaining of the year. Mrs.
Belmonte will attend all the all the OSI’s in place of Mrs. Ross.
We are still on track to move into the new building over spring break.
Barnes and Noble was not as busy as past years. This year we only were allowed to earn for 1
day, in years past we were allowed 3 days. We do not have a total on what was earned. The
band also played and they were so good.
Treasure Report-

Beginning Balance: $7,430.76
Income: $1,476.74
Which includes dues, trash bag sales, corporate contributions (Kroger & bank interest),
snack bar, and Scrip income
Expenses: $311.32
Which include office supplies (postage for box Tops), OSI Assistance (5 th OSI in January
ice skating), and Student store.
Ending Balance: $8,586.83
A motion was made by Jennifer Withrow to move $100.00 from fall festival to OSI assistance
and seconded by Bianca Belmonte-Sapien. Motion passed.
A motion was made by Bianca Belmonte- Sapien to move $20.00 from fall Festival to Insurance
and seconded by Jennifer Withrow. Motion passed.
Social Committee-
Science Bowl went well. Janet took the snacks to Keshet and set up. The location was a very
nice venue for the event.
Wednesday, December 12 is the Spelling Bee. It will be held in the school cafeteria. Janet will
set up snacks and Sharon will purchase awards.
Drop and Shop is scheduled for December 14 5:30-8:30. We currently do not have any RSVP.
Jennifer and Janet have decided that if there are less than 20 pre-paid participants we will cancel
the event. We will have Mrs. Morga send out one more e-mail. RSVP and Money will be due on
Wednesday, December 12. We will also ask Mrs. Morga to call in the pizza order to Dion’s. We
have plenty of adult volunteers. We will have fun games, movie, and crafts. Mrs. B offered to
work the art table.
Mrs. Tarango will send out a donation letter for the alternative fundraiser before the end of the
year.
Teacher appreciation will be on Wednesday, December 12. Janet was able to get a little over
half of gift certificates donated from local restaurants. PTA will purchase the remainder. We
will also have coffee, hot chocolate, cookies and a cheese tray for them to snack on. The event
will be in the cafeteria. We will have games for them to play. Jennifer Withrow will also help.
Rudy’s also donated so we will save those gift cards for the next teacher appreciation event.
Jennifer Withrow suggested a teacher appreciation idea where we would solicit parents each
month to “adopt” the teachers. We would have them bring food so the teachers could have a
nice lunch once a month. It is kind of a coordinated potluck. This is done at the elementary
school where one of Amy Morga’s son attends.
Another idea is to do a birthday cupcake for the teachers.
Amore Pizza offered to have a fundraiser for us.
We need to start looking for people who want to fill positons in the PTA.
We need to do a better job of advertising meetings.

11/19/18 PTA Minutes

Meeting called to order by Juliann Salinas at 6:05 pm on Monday, November 19, 2018

Fritts, Mary Tarango, Adrian Montoya, Bianca Belmonte-Sapien
Minutes from the October Meeting were reviewed. Crystal Salas motioned to approve and
seconded by Sharon Hart. Minutes were approved
COO Report-Title 1 funding
Our school received more resources this year. Lovey thanked Mrs. Cooper for entering all of the
school lunch data, Mrs. Morga, for entering all the STARS data. This information is what the
State used to assess and determine what funding we will receive. So based on our student
enrolment this year we can tell the benefit of entering the data. The increase in numbers is how
we are able to receive more funding for this year. Which means the information that we are
submitting is true and correct, and we are doing our due diligence.
Attached is the Title 1 power point presentation and agenda on how it helps to improve our
school.

Treasure Report-

Beginning Balance: $6,675.37
Income: $4,726.83
Which includes interest, dues, trash bag sales, corporate contributions (Kroger & bank
interest), snack bar, hat sales, Scrip income, fall festival and vender donations.
Expenses: $3,971.44
Which include office supplies, storage rental, 3 member dues to PTA, OSI Assistance (6 th
grade fire and Ice Cave busses), Explora Science Night, fall festival, student store, and
Script card sale.
Ending Balance: $7,430.76
Sharon Hart is looking into a .32 bank charge.
-We will look into doing a new member drive in the new year to attract new members to PTA.
-We will look at ways to also get more teacher involvement as well.
-We will also look at dinner and childcare to try and bring in more families to the monthly PTA
meetings.
-Jennifer Withrow will be sending out the non-fundraiser fundraiser forms. Forms will be sent
out the week of November 26. All donation is tax deductible.

-Box top brought in $180. Thank you to Karine for all her hard work. We will be looking at a
better solution to box tops for each grade. We will look at a prize for the grade that has the most
box tops. The next collection date will be in February. If box tops are not labeled they will not
be divided evenly to each of the grades. So please label your box tops with your students grade.
Box tops will also be divided by a per student average since some grades are larger than others.
An email will be sent home to remind families to clip box top during holiday cooking.
Social Committee-
Science Bowl December 7- We will contribute refreshments for parents and participants. We
also purchased gift card for the winners of each grade.
Family Science Night Friday February 1.
Drop and Shop December 14 5:30-8:30. Parent can drop off their kids for a night out. Price will
be $5.00/child if paid in advanced, $8.00/child at the door, food will be extra. Jennifer Withrow
will put a form together. We also need background checked adults to volunteer. Kids are free
for adults who volunteer and will also get free food. There is a 10:1 kid to adult ratio. We will
have board games, craft, and movies. We may also play minute to win it games. All movies
played will be G rated, and will be played in the classrooms. It was also suggested we charge a
small fee for the craft. We will send out the flyer early December, December 12 th will be the
prepay deadline.
Fall Festival- We need a better way to get parents to volunteer for fall festival ahead of time.
Many families complained about the line to get in, but if we had more volunteers things would
run more smoothly. We will also look at preselling tickets before the event next year. We
always welcome and are thankful for staff volunteers and they can help with everything but
taking money.
Juliann Salinas’ husband has volunteered to DJ our events. He had speakers and DJ equipment
Color Guard will participate in the Twinkle Light parade on December 1 st .
Barnes and Noble day, benefiting the foundation will be all day December 8. We will look at
having the color guard hand out flyers as they walk in the parade. If anybody is planning on
purchasing from Barnes and Noble, please go on this day and give the flyer to the cashier and a
percentage of your purchase will be donated to the school.
We need ideas on what to do for the teachers for the holidays, We usually spend about $10 per
teacher. We have had 17 staff members turn in their “my favorite thing” questionnaire. We
have 33 staff members. Mrs. Belmonte-Sapien says teacher would love to have their lunch duty
covered. We may use this as an incentive to get teachers to sign up for PTA.
Some ideas:
– Purchase gift card and have cookies and hot chocolate and have them do a gift card swap
– Have parents adopt a teacher and have them bring in small gifts for the teacher they
choose.
– Bring in lunch for the teachers

Jennifer Withrow has gone through the items we have at the school store and we have removed
items that do not fall within the state guidelines and have replaced them with healthier
alternative.
Principal’s Report-
Building update- It looks like the completion date will be spring break.
We had a parent contact the police chief about having police present at our school during drop
off and pickup due to the amount of traffic in the area during these times. Mrs. Tarango also
contacted the area commander about requesting a crossing guard. There has also been a proposal
for an ADA compliant sidewalk that the city has approved. APD has said that they will send
someone to help during these times if they have someone available. Their presence was greatly
appreciated this morning and we are hoping to see them more often.
A Safety drill was held at the school today and it went great. The school is required in the first 4
weeks of school to have a fire drill every week. We also have to have 1 shelter in place one
relocation and 1 lockdown drill. Once a month we have to have one safety drill.
The 8 th grade teachers float around to vacant classrooms during that period. They share
classrooms with 6 th and 7 th grade. So until we have the new building, those classrooms will have
designated areas to during drill.

EXECUTIVE BOARD MEETING MINUTES

Meeting called to order by Juliann Salinas at 6:24 pm on Monday, October 22, 2018
Attendance: Juliann Salinas, Crystal Salas, Jennifer Withrow, Janet Giron, Sharon Hart, Lovey
Fritts, Mary Tarango, Amy Rutledge, and Tod Withrow
Minutes from the September Meeting were reviewed. An amendment was made to change the
title under the signature from Treasurer to Secretary. Sharon Hart motioned to approve and
seconded by Crystal Salas. Minutes were approved
President Report-
School Safety Update- The link to the presentation on social media safety is now online the link is
https://youtu.be/gA7u6z7zP6g . This presentation will continue to be given to the students every year.
Juliann is looking into a training through the USTA that goes over what to look for if you think a child is in
any danger. If she is allowed to share we will post it on the 21 st century website.
Principal Report-
The foundation is refinancing the building to include the new gym, gym floor and classrooms.
We had an added expense of basketball backboards. We had requested the backboards from the
Manzano remodel, but they are no longer available. They are also looking to add volleyball
standards to the floor. The foundation is still looking to raise $100,000.00 for the gym floor and
extra equipment. Enrollment is at 294. The school will be receiving extra money for the
additional students and will also be getting an adjustment for growth. There is already a waiting
list for the 2019-2020 school year. OSI backpacks were purchased for the teachers. There is the
option of one strap or two strap. These bags are used to hold medications and forms. The bags
are green so that they stand out amongst the students OSI bags. Mr. Peckens will design the logo
for the bag and once they are complete they will be handed out to the teachers.

interest) and snack bar.
Expenses: $5,495.10
Which include storage rental, member dues to PTA, insurance, ice cream social, trash
bags and student store.
Ending Balance: $6,675.37

Mrs. Candelaria has requested $1,043.10 for an OSI for 6 th grade to the Fire and Ice caves in
Gallup, NM. This amount will cover 2 buses. 2 busses are needed because of the increase of
students in 6 th grade from 63 last year to 93 this year.
A motion was made to approve the funds for the 6 th grad OSI by Juliann Salinas and seconded by
Sharon Hart. The motion passed
A motion was made to move $500.00 from New School Needs to OSI Assistance to cover the
increased about of the buses by Juliann Salinas and was seconded by Crystal Salas. The motion
passed
Motion was made to accept the budget with the amendments by Crystal Salas and seconded by
Juliann Salinas. The motion passed.
Fundraising-
PTA is planning on doing the Non-fundraiser fundraiser. This fundraiser asking parents to
donate money to opt out of traditional fundraising. Jennifer Withrow will send out the letter at
the beginning of November.
Box tops are due by the 26 of October and in March.

Social Committee Report-
Fall Festival will be Friday, October 26 from 5:30pm-8:30pm
8 th grade- estimation station
7th grade- balloon animals
6 th grade- wands and photo booth
5 th grade- cake walk (will be in 5 th grade classroom)
– Student Council will be doing owl posts and the haunted house.
-DJ will be outside with quidditch (Coach DA will run quidditch).
-Amy Rutledge and her husband are working on the entrance wall and quidditch game.
-Jeremy Giron will run the Van de Graph machine in the art room.
-Nucenda will host the parent lounge in the teacher’s lounge.
– We have 2 possibly 3 venders that will set up to sell in the cafeteria along with the PTA, Trash
bags, foundation (Albuquerque Journal), Coach DA drawing for athletics tables.
-8 th grade art class will make the dragon eggs, and mandrakes. Dragon eggs will be used for a
scavenger hunt with questions, and students can turn in completed forms for extra tickets.
– We will hang black table cloths to make a tunnel in the office so people will not go into the
offices.
– We will decorate the cafeteria like the great hall in Harry Potter.
– Sharon Hart, Mr. Hart, and Janet Giron will be collecting money at the front.
– We will begin setting up after lunch around 1:30.
– Jennifer will purchase chopsticks for the wands.
– Mrs. Tarango will ask Mr. Peckens to make up a flyer.

-We are hoping for more parent volunteers to work. Jennifer is going to recruit high school
students to help and we will feed them for their time.
-We will be ordering pizza from Dions and Jennifer will look into burritos. Other food will be
caramel apples, chocolate frogs, nachos, cotton candy, and snow cone machine.
-$5 for entrance which will include all games. Tickets will be sold at .50 a ticket, and will be
used for food, haunted house, owl post and estimation station.
-Students will be allowed to wear their costumes to school on Friday, but are not allowed to wear
masks except paint. No permanent color in their hair or violent accessories.
Science Night- Janet looked into Sandia National Labs sponsoring Explora Science night at the
school, but they only sponsor elementary schools.
Motion was made to pay $150 for Explora Science Night by Crystal Salas and seconded by
Sharon Hart. The motion passed.
Drop and Shop- Friday, December 14 from 5:30-8:30.
New Business
We had a parent contact PTA about the items sold in store not meeting the APS guidelines. The
guideline time starts at midnight and end 30 minutes after the afternoon bell. Jennifer Withrow
is reviewing all the items sold at breakfast and making sure we were within the guidelines.
We will be selling 21 st Century baseball caps for $25.00 (Our cost will be $20.00). Crystal Salas
will put together an order form and we will sell them at the membership table. Hats will be able
to be worn on OSIs.

Meeting called to order by Crystal Salas at 5:45 pm on Monday, September 10, 2018

Nominations for Secretary- Janet Giron was nominated by Jennifer Withrow and 2 nd by Sharon
Hart and passed. Janet accepted.
Treasure Report-
PTA Budget for the year was posted on August 10, 2018 and was posted for 32 days. Sharon
wants to make a separate line item for the trash bag fundraiser on the balance sheet.
Beginning Balance: $5,624.09
Income: $746.32
Which includes interest, dues for 14 new PTA members, direct donation (1 family),
selling of swag bags and uniforms, and snack bar.
Expenses: $1,233.08
Which include storage rental, beginning of the year needs, and teacher appreciation
lunches during in-service days.
Ending Balance: $5,137.33
Motion was made by Jennifer Withrow to accept the budget with the change to add trash bags as
a separate line item and was 2 nd by Juliann Salinas. Budget passed.
Vice President Report-
The Science department has asked for the following items for the 2018-2019 school year.
1. $150 paid to Explora for Family Science Night
2. Family Science Night Friday: February 1 st 2019, 5-7pm in the cafeteria- PTA will sell
food as a fundraiser during the event and provide door prizes with tickets for drawing of
prizes.
3. School Science Bowl: Friday December 7 2018 at Midtown Hampton Inn (Tentative
location)- PTA to provide cookies and drinks during the event and prizes/certificates for
winning team members (20 total-5 from each grade level).
Janet Giron will check into having Sandia National Labs sponsor Explora Family Science Night.
Vote on funding is tabled.
Motion was made to approve hospitality and prizes for Science Bowl by Jennifer Withrow and
2 nd by Juliann Salinas. Motion passed

A request was made for any other nominations for Board positions. There were no other
nominations.
Fundraising-
PTA will offer Parents Night Out. This year it will be used as a fundraiser and PTA will charge
a fee of at least $5 per child (food extra). There will be a cap on the number of children,
Children must be potty trained. Possible date before Christmas. Dates, times, and fee TBD.
Possible fundraiser once the gym is built is to have a family movie PJ night and sell concessions.
Social Committee Report-
Fall Festival will be held on Friday, October 26, 2018 from 5:30-8:30pm. The theme will be
Wizard Wonderland. Local area businesses will have trick or treating and other fun activities for
families. A planning meeting email will be sent out.
Spring Fling will be a sock hop theme.
Principal Report-
Early release September 26, 2018 at 12:15 for I-Ready training for teachers.
I-Ready is the new software that will be used to test students in ELA and Math. MAPS testing
will still be used for science and social studies.
SIS (APS) Student information system should be available for our school for free sometime this
year. This program will make it easier when children move to another APS school.
Drop-off and Pickup has greatly improved since the first day of school. Bus pickup and drop-off
has gone smoothly. Mrs. Tarango will continue to monitor the bus and the number of students to
make sure all is running smoothly with the bus transportation. If parents have any questions or
would like to be added to the group app about west side bus pick up they can contact Crystal
Salas at crystalcsalas@gmail.com. Parents who are dropping off and picking up at St. Joseph on
the Rio Grande need to be aware of the construction that is going on in order to keep all children
safe.
Staff is allowed to park in the 11 spaces at the Human Services building and parents are allowed
to park there during drop-off and pickup.
We currently have 296 students. We had a great first week!
Mrs. Tarango has contested the C grade we received. In PARCC, we out-performed the state,
APS, and the 8 state consortium in every single category except 2. We scored 57% proficient in
Science, APS average was 40%, state average was 44%. She is waiting to hear back from the
PED.

State auditors will be at the school the week of September 17th.

Our next meeting will be Monday, October 8, 2018 at 5:30pm

ISC gave a Safe and Secure presentation about keeping your kids safe on the internet. The
presentation was also given to all students. The presentation was recorded on video and a link is
